Smart Setup connects your Business Profile, buyer targeting, search ideas, Email Studio drafts and an Outreach Pack draft in a proposal you review before applying. Includes: Business identity, products and branding; Target types and segments; Website-assisted setup proposals; Selectable profile, query and draft changes; Workspace settings and Billing. 1. Create an account, confirm your email and complete the welcome prompts. Check Billing for your actual plan, allowances and any trial end date. 2. Open Business Profile and add accurate company, product, contact and branding information. Leave unknown facts blank. 3. In Smart Setup, provide your business website and request a proposal when you are ready. Review its sources, missing facts and proposed changes. 4. Choose the fields, targeting, queries and drafts you want to keep, then apply that selection. Open the saved result to review it; applying setup does not run a buyer search or send an email. Limitations: Website access and AI availability affect proposals. You can enter business details manually. Do not add certifications, capacity, customers or claims you cannot support. ### [Buyer discovery & website research](https://www.exportpilot.app/product-guide#discovery) Research potential international buyers by product and market. Buyer Search, Website Review, Company Lookup and Website Analyzer help you move from a company domain to a lead worth reviewing. Includes: Product/category and market search; Bounded public website checks; Company and contact signals; Company Lookup and Website Analyzer; Scheduled Searches on eligible plans. 1. Open Discover → Buyer Search. Choose your real product category, target market and the relevant targeting options. 2. Review the query and available credits, then explicitly start the search. Opening Discover does not start it. 3. Open Website Review to inspect the returned domains and available company/contact evidence. Reject irrelevant companies and keep missing details unknown. 4. Approve a relevant result into CRM. If you want repeat research, separately configure a Scheduled Search and review its cadence and limits. Limitations: Results are research leads, not proof of purchase intent. Not every website exposes a direct buyer email. ExportPilot is not a customs shipment database and does not guarantee contact accuracy or search results. ### [CRM & buyer workspace](https://www.exportpilot.app/product-guide#crm) Keep the company, contact, source evidence, notes, tasks, messages and commercial activity attached to the lead you selected. The buyer workspace is the handoff between research, outreach and invoices. Includes: CRM leads, filters and lead details; Contact evidence and email verification depth; Notes, tasks and lead timeline; Selected-lead AI Draft and negotiation context; Explicitly linked invoices and documents. 1. Save an approved discovery result or add a lead with details you know. Open that exact lead in CRM. 2. Review its company website, contacts and source evidence. If available, run an email check and read the result and verification depth. 3. Add the next task or a note. Use the lead workspace to prepare an AI draft, inspect a reply or start a commercial document. 4. Return to the timeline to review recorded activity and outcomes. A prepared draft, a sent message and a delivery event are different states. Limitations: An email syntax or domain check is not proof that a mailbox exists, belongs to a buyer or accepts messages. A guessed recipient must not become a verified contact. ### [Email Studio & Business Brain](https://www.exportpilot.app/product-guide#email-studio) CRM AI Draft and Email Builder reuse business and selected-lead context. Review Context used, Missing context, Facts used and Quality review, then request a targeted revision instead of starting over. Includes: Context-aware AI Compose; Email Builder and saved templates; Standalone Email Analyzer; Quality review and targeted revision; Subject Line Generator and negotiation coaching; Draft feedback and signatures. 1. Open Email Builder, or start AI Draft from a selected CRM lead. Choose the purpose and relevant business or buyer context. 2. Check the context summary before requesting a draft. Add missing information only when you have reliable evidence. 3. Read the draft, facts used, missing context and quality findings. Remove unsupported claims and revise the specific part that needs work. 4. Edit and save the draft as a template when appropriate. Use Email Analyzer for a separate review of text you already have. Saving or generating a draft does not send it. Limitations: AI can make mistakes; quality scores are guidance, not deliverability guarantees. Review the draft and each factual claim. AI actions consume the applicable allowance. ### [Outreach, follow-ups & replies](https://www.exportpilot.app/product-guide#outreach) Use saved templates, Simple Outreach Packs, Sending Rules and the Outreach Calendar to organize the next contact. Replies and negotiation tools help you continue the conversation with its original lead context. Includes: Reviewed lead outreach; Simple Outreach Packs and follow-up timing; Sending Rules and deliverability checks; Read-only Outreach Calendar; Replies, reply-sync readiness and negotiation; WhatsApp templates and manual handoff. 1. Connect a supported sending mailbox in Settings when you are ready to send. Review its status, Sending Rules and any setup warning. 2. Choose the lead, sender and saved template. Inspect the actual recipient and message before confirming a send. 3. For follow-ups, review an Outreach Pack, its timing and enrollment selection before activating it. Configured automation can act later within its approved settings. 4. Check Upcoming work in the Outreach Calendar and review Replies. Incoming reply synchronization needs its own supported connection and consent; an outgoing SMTP connection alone does not sync an inbox. 5. Use WhatsApp templates for a manual handoff when appropriate. Review the destination and text in WhatsApp; opening it is not proof of delivery. Limitations: Every send remains subject to suppression, unsubscribe checks, caps, warmup and emergency-stop controls. No inbox placement, reply rate or sale is guaranteed. PDF Workspace and PDF Tools cover document editing and preparation alongside the commercial workflow. Check the recorded outcome and lead timeline; saving a document is not sending it. Limitations: You are responsible for commercial accuracy and destination-specific requirements. Document generation is not customs, tax or legal certification. Subscriber lists and branded newsletter campaigns help maintain the relationship, with business context kept separate from cold-outreach permission. Open Newsletter and choose or create an appropriate subscriber list on an eligible plan. Add only people for whom you have the required permission. 2. Start a campaign, select its list and prepare the content. Review business facts, branding and the unsubscribe information. 3. If you request an AI draft, check its sources, missing context and quality review, then edit it before saving. 4. Review audience, sender, preview and schedule before any send action. Inspect the campaign log for real outcomes rather than assuming every recipient received it. Limitations: Cold outreach and opt-in newsletter permissions are separate. A CRM lead is not automatically subscribed. Sending requires an eligible plan, a ready provider and the same safety gate. ### [Blog Creator & brand content](https://www.exportpilot.app/product-guide#content) Prepare helpful articles for your target customers, review the SEO checklist and export them for your website. Connect supported WordPress publishing when enabled, then check the public page. Relevant content can help attract inquiries; traffic and rankings are not guaranteed. Includes: Blog Creator and whole-draft revision; SEO checklist with visible reasons; Rich HTML and structured-data export; Optional WordPress publishing; Topic-based SEO Autopilot; Signature and brand assets. 1. Open Blog Creator from Content and define the topic, audience and source facts. Request writing help only when you are ready. 2. Check the outline and full draft for unsupported facts, links and repetitive claims. Use the SEO checklist to find specific improvements. 3. Review the final content and export it. A ready draft is not a published page. 4. Use WordPress publishing or a topic schedule only after the connection and feature are enabled. Check the actual remote publishing status and public page before claiming it is live. Limitations: WordPress publishing and automation depend on provider configuration and plan access. Publishing is an explicit action; writing a draft does not publish it. SEO tools cannot guarantee rankings. ### [Analytics, Country Intel & Assistant](https://www.exportpilot.app/product-guide#intelligence) Use Analytics for recorded activity and buyer evidence, Country Intel for reviewable market research, and the separate Assistant workspace for questions about the records you choose. Includes: Activity analytics and buyer evidence; Country Intel briefs and saved reports; Market watchlists and optional digests; Review-only Assistant conversations; Selected-record context and source limitations. 1. Open Analytics to inspect recorded activity and available buyer evidence. Treat an empty or unavailable dataset as such. 2. In Country Intel, choose a country and product before requesting a brief. Review sources, dates and any limitations, then save useful research. 3. Add a watchlist only if needed. Digest delivery is a separately configured capability, not something that starts on signup. 4. Open Ask Assistant, select the context you want it to use and ask a bounded question. Review its answer and carry out any next action yourself. Limitations: Market briefs and Assistant answers are assistance, not verified commercial or regulatory advice. The Assistant does not autonomously search, send or change your business records. Digests depend on separate activation. ## Commercial and safety facts ### What is ExportPilot? ExportPilot is an export CRM and buyer-discovery workspace for manufacturers, traders and exporters. It connects company research, reviewed outreach, follow-ups, invoices, export documents and shipment records. Opt-in newsletters and website content help you continue customer relationships and attract new inquiries. ### Can I use it to find international buyers? You can search for potential companies by product and market, inspect public website evidence and save relevant leads. A result is a research starting point, not a guarantee that a company is buying or has a reachable decision-maker. ### What happens when contact details are missing? Not every business publishes a direct contact. ExportPilot keeps missing facts unknown. Review the website, refine your targeting or keep the lead for further research; never replace a missing email with a guess. ### Does the AI send emails automatically? Generating a draft does not send it. Review the draft, recipient and facts first. Separately configured outreach follow-ups or campaign schedules can send later, subject to sending limits and safety checks. Nothing is sent just because you sign up. ### Are cold outreach and newsletters the same audience? No. A CRM contact is not automatically a newsletter subscriber. Newsletter campaigns require the appropriate opt-in permission; cold outreach has a separate review and eligibility flow. Both use sending safety checks. ### What does the Free plan include? Free includes 25 CRM leads, 50 search credits per month, 15 AI actions per month and 3 invoices per month. No card is required. Billing shows your active plan and any granted trial end date. Paid upgrades are support-assisted; there is no automatic paid charge when a trial ends. ### Which documents can I prepare? The document workspace includes 9 templates: Packing List, Certificate of Origin, Shipping Declaration, Proforma Invoice, Commercial Invoice, Quality / Inspection Certificate, Bill of Lading, Shipper's / Beneficiary Declaration, LC Document Checklist. A proforma invoice can serve as a quotation in invoice form. Required official certification and carrier issuance remain separate. ### Do I need to connect every tool before starting? Start by adding business context, researching a market or preparing an invoice. Connect a sending mailbox when you are ready for outreach. Newsletter audiences need opt-in permission, and WordPress publishing needs its own enabled connection. You can build the workflow one useful step at a time. ### Will it work with my mailbox and website? Sending needs a supported mailbox connected in Settings. Incoming reply sync is a separate supported connection. WordPress publishing, digest delivery and other provider-backed actions depend on setup and availability; check their readiness before relying on them. Free signup requires no card. A trial, if granted after email confirmation, is shown in Billing with its actual end date. Paid upgrades are support-assisted. Do not infer a paid entitlement from marketing copy. Cold-outreach leads and opted-in newsletter subscribers have separate permission requirements. No automatic search or send starts on signup. Configured follow-ups or schedules are separate user decisions and remain subject to sending controls. Missing business and buyer facts stay unknown.
